General Duties: All Executive members along with their own responsibilities must also perform the following: · Attend all weekly executive meetings. · Hold a minimum of 2 hours of office hours per week. · Assist and attend Kula Ring events. · Routine maintenance and care of Kula Ring Lounge space. · Other duties depending upon ability and time, including but not limited to: Cosco runs, Recycling, Updating website, and Assisting other exec members when needed. Social/Cultural President The Social/Cultural President is responsible for providing leadership and facilitating the operation of the Kula Ring and executive. This includes: · Attending and facilitating all executive meetings and events, delegating tasks to appropriate executive positions, overseeing the activities of the club · Leading off-campus events (e.g.: Zoolights, Glenbow excursions), and planning appropriate events for Social/Cultural Anthropology students · Representing Social/Cultural Anthropology students within the club · Writing donation letters to garner support for the Kula Ring · Promoting the Kula Ring to students and faculty through announcements and posters · Co-ordinating the completion of the SU Annual Report, and ensuring that the Kula Ring fulfills the requirements of an SU Sanctioned Club · Maintaining signing authority for the Kula Ring bank account. President of Primatology The President of Primatology is responsible for providing leadership and facilitating the operation of the Kula Ring and executive. This includes: · Attending and co-chairing all executive meetings with the social/cultural president. · Providing assistance to any other executive positions when needed (eg. Helping advertise for events, attending faculty meetings when VP Academic cannot, etc.) · Leading off Campus events, and planning/implementing appropriate events for the Anthropology students within the degree of Primatology. · Acting as a representative for undergraduate Anthropology students in the club. · Providing a link between Primatology undergradute students and the Primatology faculty. · Writing donation letters to garner support for the Kula Ring. · Assisting in completion of the annual SU end of year report. · Being a signing authority for the club bank account. VP Internal/External The responsibilities of the VP Internal/External for the Kula Ring executive are primarily to manage specific areas of communication. · Internally: to manage communications between members of the Kula Ring. This may include: o Communicating information from executive meetings to the members, primarily through emails as well as posters. o Coordinating times when members who want access to the test bank can meet with an executive member if they are unable to attend office hours. o Emailing information to executive members that cannot attend a meeting. o Respond to emails from members in a timely manner, and consult with other executive members if necessary. · Externally: to manage communications between the Kula Ring and outside individuals, clubs or institutions. This may include: o Communicating with other clubs (either on campus, or on another campus) to coordinate events, etc. o Communicating with companies, or institutions of which you are soliciting donations. o Keep up to date on what other anthropology departments and clubs are doing. o Respond to incoming emails in a timely manner, and consult with other executive members if necessary. VP Finance The VP Finance is responsible for all of the Kula Ring’s finances. This includes: · Responsibility for both cash boxes and the filing of all receipts · Making cash, coin and cheque deposits into the Kula Ring’s bank account when necessary · Writing cheques to pay for insurance, event supplies, Costco runs and any other incidental costs approved by the executive (with the cooperation of the co-signers for the Kula Ring’s bank account) · Handling all incoming mail regarding the bank account and balancing the financial books · Assisting the SU Liaison in obtaining event funding · Writing a $400 cheque to the Student Awards office at the end of the winter semester to pay for the Kula Ring Bursary · Completing the financial section of the SU Annual Report · Changing over the bank account signing authority to new executive members when necessary VP Academic The VP Academic is responsible for all academic matters and department concerns. This includes: · Attending faculty/staff departmental meetings held by the Anthropology Department. · Acting as a liaison between the Anthropology Department and Kula Ring Club and its members. · Organization and management of the test-bank. · Host academically oriented events. · Advertise scholarship and bursary opportunities. VP Events The VP Events is essentially responsible for the coordination and planning of events through out the school year including: · Pop and pizza's, Photo contest, Christmas Zoo Lights, Annual bake sales, Year-end Get-together, and others as they come. · Coordinating with other clubs on joint events. · Coordinate with current happenings in the University that would be of interest to members and Anth students, e.g. Visiting lecturers, noon-hour discussions. · Advertisement of Kula events (posters, banners, etc.) · Making room bookings, and overseeing the logistics of each event. SU Liaison The responsibilities of the VP Su Liaison are primarily to communicate with the Students Union in all matters relating the club. This includes: o Handing in all forms relating to SU funding and support o Attending SU run meetings and conferences o Attending the Alcohol Awareness seminar and passing exam o Picking up club cards from the SU office when needed o Picking up cheques issued to the club by the SU o Relaying pertinent club information the clubs office o Booking tables for clubs week Secretary The secretary is responsible for documenting Kula Ring activity and keeping records of meetings. This includes: · Writing down the minutes of each weekly meeting. · Organizing files, mail and other Kula documents. · Participating in the organization and operation of Kula events and fundraisers. · Taking information of new members and collecting their membership fee. · Possibly maintaining signing authority for the bank account. |
