The Polish club at the
University of Calgary was first established in 1973. Although it later disbanded
and was re-established in 2002. The purpose of the club is to serve both the
polish and non-polish community with social and cultural events that bring forth
Polish culture. To become a member of the club, you must be a student at the
University of Calgary. All students will be accepted. There is a small membership
fee of $2.00/year.
The
Polish Students Club Constitution
Article 1
The name of the organization shall be The Polish Students Club At The University
Of Calgary. Also in French, Le Club des Etudiants Polonais a l'Universite de
Calgary, or Polski Klub Studencki na Uniwersytecie w Calgary. Since its establishment
in the year 2002 this club shall be named hereinafter as The PSC.
Article 2
The Polish Students Club At The University of Calgary is established to promote
academic, social, and cultural interaction among its members. The PSC will emphasize
the diversity and distinctiveness of the Polish culture by strengthening the
knowledge of the Polish society and intensifying the union of the Polish and
Canadian cultures.
Article 3
Membership to the club is open to any student at the University Of Calgary upon
payment of the membership fee that has been agreed upon by the Governing board
of the club. The club may remain in existence only if it has more than 20 members,
2/3 of which must be members of the students union. Club Membership is valid
for one school year (Aug.31 to Aug. 30 of the following year).
Article 4
The club will abide by all rules and regulations put forth by the student’s
union bylaws and policies. The club realizes that failure to comply with these
rules and regulations will result in the de-sanctioning of the club from the
students union.
Article 5
The Board of The Polish Students Club At The University Of Calgary shall be
comprised of 8 executives board members that fit the below positions and an
Assistant of the board. The positions for the executive boards shall be the
President, The Vice Presidents Of Finance, The Vice Presidents External, The
Vice Presidents Internal, and The Vice presidents Of Student Relations.
The Executives and their list of responsibility shall consist of:
The President
Shall be the chairman of the executive board, and shall carry out the boards
requests
Shall be the official spokesperson for the club, and its official representative
In the absence of the President at the the executive meeting, the acting-president
(nominated by the president) will lead the meeting
Shall have a vote in all executive meetings
Shall have cosigned powers when dealing with club financial matters
Shall have Veto Power in an election tie (refer to article 7)
The Vice President Finance
Shall have a vote in all executive meetings
Shall have cosigned powers when dealing with club financial matters
Shall keep all books in order as to the executive boards requests
Shall receive all financial contributions to the club
Shall oversee all club expenditures
Shall be able to provide all financial matters and book keeping to the executive
board at any request of the executive board.
Shall be responsible for submitting an annual report to the students union upon
their request before the end of the term of office.
Shall be responsible for providing financial information and book keeping to
all sponsors of the club
Shall have vote in tied elections
The Vice President External
Shall have a vote in all executive meetings
Shall coordinate and cooperate with other organization in the Calgary area and
of Polish background outside of the University setting
Shall oversee all events off-campus
Shall have vote in tied elections
The Vice President Internal
Shall have a vote in all executive meetings
Shall coordinate and cooperate with the University of Calgary and the Students
Union
Shall oversee events taking place on campus
Shall have vote in tied elections
The Vice President Student Relations
Shall have a vote in all executive meetings
Shall coordinate and cooperate with the students of The University of Calgary
Shall be the voice of members at all executive meetings
Shall have vote in tied elections
The Assistant of The Board
Shall coordinate the club website
Shall coordinate club email,
Shall be in charge of club mail
Shall take notes at all executive meetings
Shall assign someone to take notes if he/she is not available for club meeting
Shall have NO vote in executive meetings
Article 6
The term of office in the executive board shall commence May 1 and conclude
April 30 of the following school year. The term of office of a "board" member
may be concluded if a 6/8 vote is reached among all the executive members at
any time in the holding of his position.
Article 7
Elections for club executives will take place no later than April 15 of each
year and his position will commence April 30th of that year. Prior to any executive
elections a Chief Election Officer (CEO) shall be appointed to be responsible
for the duties allocated with the elections and will provide notice to all members
of the upcoming elections. The CEO may not vote in the upcoming elections and
may not himself be running in the elections. All candidates must announce their
candidacy for a specific position on the executive board no later than 30 days
prior to the elections to the CEO. In the event of a tie for an executive board
position the new governing executive board will elect the executive from the
two candidates. If another tie occurs the President is given the power to choose
whom he sees fit for that elected position in the executive board from those
two candidates.
Article 8
The President may call executive meetings at any time during the school year.
There will be at least one meeting per month during this academic year. A Club
meeting where the executive board will be elected will take place on the day
of elections at which all Club members may attend.
Article 9
This constitution shall be comprised of the operating procedures of The Polish
Students Club At The University Of Calgary. It may be amended or altered with
7/8 of the executive board vote or 75% of the members at a Club meeting. If
the members of a club not belonging to the executive board wish to make amendments
or alterations to the constitution 15 signatures must be brought to the President
30 days prior to the Club meeting. A copy of the amended or altered constitution
will be submitted to the Students Union no later than two weeks from ratification.
